For personal data processed through our website, sales, marketing and general business activities, TFE.agency normally acts as the data controller. When we process marketplace or customer information solely on behalf of a business customer, TFE.agency may act as a data processor or service provider in accordance with our agreement with that customer.

  • Use TFE Datahub or another TFE.agency service
  • Authorise TFE.agency to access an Amazon Selling Partner account
  • Connect an authorised marketplace or business system to our services
This policy does not apply to websites or services operated independently by other organisations. Their own privacy policies will apply.


3. Information we collect
Depending on your relationship with us and the services you use, we may collect the following information.

Contact and business information

  • Details supplied through contact, quotation or demonstration forms

Account and service information

  • User name and account identifiers
  • Company and authorised-user information
  • Service preferences and configuration settings
  • Marketplace connections selected by the customer

Website and technical information

  • IP address
  • Browser and device information
  • Approximate location derived from an IP address
  • Pages viewed and links selected
  • Cookie identifiers and preferences
  • Date, time and duration of visits
  • Security, diagnostic and activity logs

Marketing information

  • Newsletter or communication subscriptions
  • Campaign interactions
  • Records of consent and withdrawal

Customer operational information

Where required to provide an authorised service, we may process customer-owned operational information from systems such as ERP, PIM, WMS, inventory, accounting or order-management systems.


Marketplace information

Where a customer authorises a marketplace connection, we may process information required to provide the selected marketplace services. The information processed depends on the marketplace, the customer’s permissions and the services requested.


4. Amazon Selling Partner Information

When an Amazon Selling Partner explicitly authorises TFE.agency, we may process Amazon Information required to provide the services selected by that Selling Partner.Depending on the authorised services, this may include:
  • Seller account and marketplace identifiers
  • Product and listing information
  • Orders and relevant order details
  • Inventory information
  • Fulfilment, shipment and tracking information
  • Returns information
  • Operational reports and financial or settlement information where authorised
  • Customer information contained in authorised order or fulfilment records where required to complete the requested service
Amazon Information is retrieved exclusively through official Amazon Selling Partner API (SP-API) endpoints following authorisation by the Selling Partner. We do not obtain Amazon Information through scraping services, data aggregators, third-party data providers or other non-Amazon sources.We process Amazon Information only to provide services requested by the authorised Selling Partner, which may include:
  • Order management
  • Inventory synchronisation
  • Product and listing management
  • Fulfilment and shipment workflows
  • Retourenmanagement
  • Reconciliation
  • Operational reporting
  • Customer support relating to authorised marketplace operations
TFE.agency does not provide Amazon Brand Analytics as part of this service.Amazon Information is not used for unrelated advertising, profiling or marketing. We do not sell Amazon Information or disclose it to data brokers, advertising platforms, marketing services or unrelated third parties.Where requested by the Selling Partner, Amazon Information may be synchronised with the Selling Partner’s own authorised business systems, such as its ERP, PIM, WMS, accounting or order-management system. Such transfers take place solely to support the Selling Partner’s authorised operational workflows.


5. How we collect information
We may collect information:

  • Directly from you when you contact us, submit a form, request a quotation, enter into an agreement or communicate with us
  • From authorised users within your organisation
  • Automatically through cookies, analytics technologies, security logs and similar tools
  • From a marketplace or platform that you explicitly authorise us to connect to
  • From customer-owned business systems that the customer authorises us to connect to
  • From service providers used to operate our website and business
  • From publicly available business sources where permitted by law
Amazon Information is retrieved exclusively from official Amazon SP-API endpoints following Selling Partner authorisation.

We may use information to:

  • Respond to enquiries and quotation requests
  • Provide demonstrations and information about our services
  • Create and manage customer accounts
  • Deliver TFE Datahub and other agreed services
  • Connect authorised marketplaces and business systems
  • Process marketplace orders and operational workflows
  • Synchronise authorised inventory and product information
  • Provide customer support
  • Manage contracts, invoices and payments
  • Maintain and improve our website and services
  • Monitor performance and diagnose technical problems
  • Protect our systems, customers and users
  • Detect or prevent fraud, misuse and security incidents
  • Meet legal, regulatory and contractual obligations
  • Send marketing communications where permitted
  • Maintain records of consent and communication preferences
  • Establish, exercise or defend legal claims
We do not use Amazon Information for any purpose unrelated to the services authorised by the Selling Partner.


7. Legal bases for processing
Where the General Data Protection Regulation or similar legislation applies, we rely on one or more of the following legal bases:

Contract – Processing may be necessary to enter into or perform a contract, provide a requested service or respond to steps taken before entering into a contract.

Legitimate interestsWe may process information where necessary for legitimate business interests, including customer support, service improvement, security, fraud prevention and business administration, provided those interests are not overridden by your rights.

Einverständnis – We rely on consent for activities such as optional marketing communications and non-essential cookies where required. You may withdraw consent at any time.

Legal obligationWe may process information where necessary to comply with legal, tax, accounting, regulatory or law-enforcement obligations.When TFE.agency acts as a processor on behalf of a business customer, we process personal data according to that customer’s documented instructions and our agreement with the customer.

We do not sell personal data or Amazon Information.We may share information only where necessary with:
  • Hosting, cloud infrastructure and technical-support providers
  • Customer relationship management and communication providers
  • Analytics providers where the appropriate consent has been obtained
  • Payment, accounting and professional-service providers
  • Contractors supporting the delivery of an agreed service
  • A customer’s authorised ERP, PIM, WMS, accounting or order-management system
  • Legal, regulatory, tax or law-enforcement authorities where required
  • Professional advisers or insurers where necessary
  • A purchaser or successor in connection with a genuine corporate transaction, subject to appropriate confidentiality and data-protection safeguards
Service providers are permitted to process information only for the relevant contracted purpose and must be subject to appropriate confidentiality, security and data-protection obligations.Amazon Information is shared only with the authorised Selling Partner, its authorised users, approved service providers required to operate the service, or the Selling Partner’s authorised business systems. It is not shared with unrelated organisations.

10. International data transfers
Some service providers may process information outside the European Economic Area.Where personal data is transferred internationally, we use an appropriate transfer mechanism where required, such as:
  • A European Commission adequacy decision
  • European Commission-approved Standard Contractual Clauses
  • Another legally recognised transfer safeguard
Additional technical or contractual measures may be applied where appropriate.Service hosting location: Customer and Amazon Information is hosted and processed within the European Economic Area.

11. How we protect information
We use appropriate technical and organisational measures designed to protect information against unauthorised access, disclosure, alteration, loss or destruction.Depending on the system and type of information, these measures may include:
  • Role-based access controls
  • Unique user accounts and authentication controls
  • Restricting access to personnel with a legitimate business need
  • Encryption in transit
  • Encryption at rest where supported and appropriate
  • Logging and monitoring
  • Secure software-development and change-management practices
  • Vulnerability and security-update management
  • Backup and recovery measures
  • Confidentiality obligations and staff security awareness

No online system can be guaranteed to be completely secure. If a personal-data incident occurs, we will assess it and notify affected parties and authorities where required by law or contract.Only publish the specific controls above that TFE.agency has implemented and can demonstrate.

12. Retention and deletion

We retain information only for as long as necessary for the purpose for which it was collected, to provide an agreed service, meet legal obligations, resolve disputes or enforce agreements.Our retention periods are determined by:

  • The type and sensitivity of the information
  • The duration of the customer relationship
  • The services requested
  • Contractual and marketplace requirements
  • Applicable tax, accounting and legal obligations
  • Security and dispute-resolution requirements
Subject to legal or contractual requirements:
  • Enquiry and quotation information is normally retained for up to two years after our last meaningful contact. If an enquiry results in a customer relationship, relevant information may become part of the customer or contractual record and be retained for the applicable contractual, legal and accounting period.

  • Customer contracts, invoices and billing records are normally retained for seven years after the end of the relevant financial year, or longer where required by applicable tax, accounting or legal obligations.

  • Marketing information is retained until consent is withdrawn, the individual unsubscribes or the information is no longer required
  • Website security and technical logs are generally retained for up to 90 days, unless a longer period is reasonably necessary to investigate a security incident, prevent fraud or meet a legal obligation.
  • Customer operational information is retained for the duration of the service and deleted according to the applicable agreement and retention procedure
Amazon Information is retained only for as long as necessary to provide the authorised service or meet an applicable legal obligation. When the Selling Partner’s authorisation or service ends, Amazon Information is securely deleted in accordance with our deletion procedures and applicable Amazon requirements, unless its continued retention is legally required.Deletion may involve removing information from active systems and allowing it to expire from protected backups according to the applicable backup-retention schedule.

13. Seller authorisation and account disconnection
An Amazon Selling Partner controls whether TFE.agency is authorised to access its Amazon account.The Selling Partner may revoke access through the relevant Amazon account or authorisation controls. It may also contact support@tfe.agency for assistance with disconnection, access or deletion requests.Following revocation, TFE.agency will stop retrieving new Amazon Information as soon as the revocation becomes effective. Information already held will be handled in accordance with our retention, deletion, legal and contractual obligations.

14. Marketing communications

We send electronic marketing communications only where permitted by law.You may unsubscribe at any time by:

  • Selecting the unsubscribe link in a marketing email
  • Changing your communication preferences where available
  • Contacting support@tfe.agency
Withdrawing from marketing communications will not prevent us from sending necessary service, security, contractual or account messages.Accepting our Privacy Policy or requesting a quotation is not treated as consent to receive optional marketing. Marketing consent should be requested separately.

15. Your privacy rights

Depending on applicable law and the circumstances, you may have the right to:

  • Request access to your personal data
  • Request correction of inaccurate or incomplete information
  • Request deletion of personal data
  • Request restriction of processing

TFE.agency does not use personal data or Amazon Information to make solely automated decisions that produce legal or similarly significant effects on individuals, unless this is expressly disclosed and permitted by applicable law.

Our website and business services are intended for organisations and business users. They are not directed at children, and we do not knowingly collect personal data directly from children for marketing or account-registration purposes.
